Getting Started
First, log in to the Distributor Portal by logging in to Outdoor Prolink, clicking the gear icon in the upper right corner, and then clicking “Admin Portal”. You can also log in by navigating directly to https://www.outdoorprolink.com/distportal/
Next, click the “Promotions” tab at the top of the screen and click “Manage Promotions.”
Promotion Manager Overview
The promotion creation process has three steps on three screens: Choose Products, (a tool for searching your catalog to filter and select products), Review Products (the full list of products/variants you’ve selected) and Apply Promotion (finalize and apply promotion effects like free shipping, additional discount, etc).
Select & Collect Products
Click the “Create Promotion” button.
Start by choosing whether you would like the promotion to run on your Full Catalog or Partial Catalog.
Full Catalog: If you select your Full Catalog, you will skip the “Choose Products” and “Review Products” screens and jump straight to the “Apply Promotions” screen to choose promotion details.
Partial Catalog: If you would like your promotion to be applied to select products and not your full catalog, select “Partial Catalog.” You will then see the Catalog Selection Tool displayed below.
There are three methods for selecting your products quickly and efficiently:
- Select Department - Filter your catalog by department, such as Climb, Camp & Hike, Fish & Hunt, Water, etc. Think of these as the activities that your products are used for. Click the “+” button next to a department to expand and see sub-departments. You can only select one department at a time. To clear your selection, select “Select Department” in the filter.
- Select Category - Filter your catalog by category, such as Equipment, Men’s, Women’s, Accessories, etc. Click the “+” button next to a category to expand and see sub-categories. You can only select one category at a time, but you may select a Department and a Category together. To clear your selection, select “Select Category”.
- Search - You may also find products by searching for a Product Name, SKU or UPC. You may search with a comma delimited list of any of these, but your query cannot exceed 2,000 characters. If your search is more than 2,000 characters (for example, a long list of UPCs or SKUs), we recommend splitting it up into multiple batches.
Once you have filtered your catalog, select products in the window below the filters.
Click the “+” sign next to a product name to view variants for that product.
Once you have selected all the products you are looking for, click the black arrow to move these products into the Review screen.
You may then clear your selections in the filters and start again, adding more products to your promotion by filtering/searching, selecting and then moving to the Review screen until you are pleased with your product list.
For example, above we have selected all the Men's products from the Snow department. If I'd like to also add all Headwear to the promotion, I need to deselect the Department Snow and Category Men to get back to the full catalog view. Then I will select Men's > Headwear from the Category dropdown and add Headwear to my promotion by selecting all and moving to the Review screen (see below).
Remove products from your promotion by clicking the “x” next to each product on the Review screen, or start from scratch by clicking “Clear All.”
Once you are finished selecting and collecting products for your promotion, click the far right black arrow to move to the Apply Promotion screen.
Apply Promotion Effect
Now that you have your product selection confirmed, the last step is to apply your desired promotion effect (additional discount or free shipping) and select a name for your promotion.
First, create a descriptive Promo Name. Some examples are: “Jul 24 Climb Equipment”, “9/24 Labor Day Special” or “8-24 EOL Closeouts”. You can use whatever naming convention works best for you and your team, but we recommend some consistency for ease down the road.
Next, pick a start and end date for your promotion. Keep in mind that our team will need 3-4 business days to review your promotion details and set it live, so if you create a same-day start date, the promotion won’t run until a few days later.
Now, select your desired Promo Effect: Discount or Free Shipping.
- Discount Promo: Apply an additional discount off of pro price. We recommend no less than extra 10% off. You will see pricing changes reflected in the Review panel on the left, including the adjusted % off MSRP for pros based on the additional discount percentage entered. Please note that all discount promotions are calculated as an additional discount off pro price, not MSRP.
-
Free Shipping: Select if you’d like to provide free shipping to all 50 states or to the lower 48 states only.
- Threshold: You may also set an order threshold for free shipping promotions, such as $49, $99 or $149.
*To set up a combo promotion (extra discount and free shipping), you will need to either:
- Set up the extra discount promotion and the free shipping promotion as two separate promotions on the same products with the same date range
- Or, set up one promotion (either the discount or free shipping) and include a message to your Account Manager about the desired additional promotion in the Notes field.
Finally, you may add some notes, questions or comments in the Notes field. This field is passed along to your Account Manager when the promotion is submitted.
Submitting Your Promotion
Once you are satisfied with your promotion details, click Submit. Your promotion will be sent into our Review queue for your Account Manager to review and set live. You will be contacted if there are any questions or issues. You can check on the status of your promotion at any time on the main Manage Promotions page grid.
Understanding Submitted Promotion Status
In the Status column on the Promotions Grid, you will see four different Statuses:
- Review - Your promotion has been submitted and is awaiting review from your Account Manager
- Upcoming - Your promotion has been reviewed and approved by your Account Manager, but the start date of the promotion is still in the future
- Active - Your promotion is live for customers to shop
- Expired - Your promotion has expired
